About This Role |
As the Donor Services Coordinator, you will provide exceptional service and support to our donors (corporate, individuals, foundations, and institutional). Your primary role will be to ensure a seamless and positive donor experience by managing donation processes, addressing donor inquiries, connecting with donors through email, chat, texts, calls, or any other medium, and maintaining accurate donor records. This position requires excellent communication skills, strong organizational abilities, and a commitment to donor satisfaction. |
Required Experience and Education |
- Minimum 1-2 years of experience in donor services, customer service, or related roles within the nonprofit sector.
- Passion for the organization’s mission and a genuine interest in supporting and engaging donors.
- Excellent interpersonal and communication skills, with the ability to interact effectively and professionally with donors and colleagues.
- Strong attention to detail, accuracy, and the ability to manage and prioritize multiple tasks and deadlines.
- Proficiency in using donor management systems or CRM software to record and track donor interactions and contributions.
- Familiarity with fundraising best practices and donor stewardship principles.
- Strong problem-solving skills with the ability to address donor inquiries and concerns promptly and satisfactorily.
- Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel, PowerPoint) and email communication platforms.
- Ability to maintain confidentiality and handle sensitive donor information with integrity.
- Ability to work independently and collaboratively within a team environment.
- Positive attitude, flexibility, and willingness to adapt to changing priorities and organizational needs.
Education/Certifications
- Bachelor’s degree in nonprofit management, communications, business administration, or a related field. Relevant certifications or coursework in fundraising or donor relations is a plus.

Primary Responsibilities |
Donor Retention
- Serve as the main point of contact for donors, responding to inquiries via phone, email, and in-person interactions promptly and professionally.
- Process and acknowledge donations promptly, ensuring accuracy and compliance with organizational policies and procedures.
- Coordinates with Officer, Donor Engagement to execute donor recognition initiatives, including thank-you letters, personalized notes, and donor acknowledgment programs.
- Collaborate with the finance team to reconcile donation records, resolve discrepancies, and provide accurate financial reports related to donor transactions.
Donor Engagement
- Support the development team in planning and implementing fundraising campaigns, including coordinating mailings, managing donor lists, conducting donor surveys and tracking campaign progress.
- Assist in organizing and executing donor appreciation events, including logistics, guest management, and follow-up communication.
- Collaborate with the communications team to develop donor-focused content, impact stories, and other materials highlighting donor support’s importance.
Database Management
- Maintain donor records and information in the donor management system, ensuring data integrity, confidentiality, and compliance with data protection regulations.
- Assist with donor database maintenance, including updating donor profiles, gift coding, and generating monthly reports.
- Provide support for special projects and initiatives as assigned by the Manager, Business Development.
Child Safeguarding
Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable them to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct themselves in a manner consistent with the Child Safeguarding Policy Ensure that all information and visual images, both photograph and moving images, of children, families, and communities respect the dignity of the people depicted. Content (photo, video, and text) that potentially stereotypes, sensationalize, or discriminates against children, situations, or places should not be used. Provide policy orientation to journalists and media stakeholders who will have direct contact with children on the limits of their interaction and how to report concerns if they become aware of a child at risk or experiencing harm. Secure their written commitment to abide by the Child Safeguarding Policy and Procedure. Conduct a risk assessment for publicity, media, and communications activities and put in place measures to reduce the risk of harm to and protect the identity of children, parents, and caregivers.
